HGV Service Planner & Administrator | Three Mile Cross - Reading | Salary circa £30,000 + Bonus

We're looking for an organised and proactive HGV Service Planner & Administrator to join a busy commercial vehicle service operation in Reading.

Please note, the working hours for this role are 8am to 5pm Monday to Friday with one in four Saturdays to be worked 8am to 12pm.

This is a varied and fast-paced position where you'll play a key role in keeping the workshop running efficiently. Acting as a central point of contact for customers, you'll coordinate bookings for servicing, maintenance, MOTs and repairs, while ensuring customers are kept fully informed throughout their vehicle's journey through the workshop.

Alongside planning and customer service responsibilities, you'll support the wider service team with administration, invoicing and record management. No two days are the same, so you'll need to be adaptable, customer-focused and able to manage multiple priorities with confidence.

A bit about the day to day....

• Schedule vehicles for servicing, maintenance, repairs and MOT testing
• Manage workshop bookings to maximise available capacity
• Create and process job cards and repair orders accurately
• Keep customers updated on vehicle progress and any delays
• Obtain authorisation for additional work where required
• Invoice completed MOTs and workshop jobs
• Raise cash and credit invoices accurately
• Order parts and arrange subcontract work when needed
• Conduct customer follow-up calls and gather feedback
• Maintain accurate vehicle histories and service records
• Scan and process workshop paperwork in a timely manner
• Support parts and labour sales targets
• Assist with general administration, filing and H&S documentation

A bit about you....

• Previous experience in a service planning, service administration or workshop coordination role
• Automotive, HGV or commercial vehicle industry experience would be highly desirable
• Ability to work under pressure and meet deadlines
• Strong problem-solving and analytical skills
• Confident using systems and handling costing/invoicing information
• Positive attitude with a willingness to take ownership
• Ability to work independently and as part of a team
