About the Company:
Our client is an independent financial planning firm providing clear, thoughtful and long-term financial advice to clients and their families. The business works closely with clients across areas including retirement planning, inheritance tax planning, trusts, investments and wider financial organisation.
They are looking for a careful, organised and technically minded Trust & Tax Administrator to take ownership of trust and tax administration across the business.
This is a detail-focused role requiring strong organisation, accurate record-keeping and the ability to manage work through to completion. You will work closely with financial advisers, clients, trustees, accountants, solicitors, investment platforms and product providers.
Key Responsibilities:
- Maintain accurate records for trusts, trustees, beneficiaries and related documentation.
- Coordinate trust-related paperwork, including applications, trustee resolutions, platform forms and supporting documents.
- Liaise with trustees, clients, advisers, solicitors, accountants and providers to progress trust-related work.
- Track trust deadlines, review points and outstanding actions.
- Ensure trust records are complete, accurate and easy to audit.
- Support advisers with the practical administration of trust-based financial planning arrangements.
- Coordinate tax-related administration for clients, including gathering information and tracking deadlines.
- Prepare information for accountants, advisers and clients where required.
- Maintain records relating to inheritance tax planning, gifts, trusts, pension death benefits and other tax-sensitive planning areas.
- Track annual tax-year tasks and recurring client actions.
- Support documentation relating to surplus income gifts, lifetime gifts, business relief planning and similar arrangements.
- Ensure relevant correspondence and documents are accurately stored on the CRM system.
- Act as a point of contact for administrative queries relating to trust and tax matters.
- Communicate clearly and professionally with clients and professional contacts.
- Chase outstanding information and keep all parties updated on progress.
- Handle sensitive client information with care and confidentiality.
- Follow internal processes and help improve them where appropriate.
- Maintain clear audit trails for all work completed.
- Identify risks, missing information or delays before they become issues.
- Work with the wider team to improve workflows, checklists and templates for trust and tax administration.
What We’re Looking For:
- Strong administrative experience, ideally within financial services, legal, tax, accountancy or professional services.
- Previous IFA administration experience would be beneficial.
- Accountancy administration experience would also be considered.
- Excellent attention to detail and accuracy.
- Strong organisational skills with the ability to manage multiple pieces of work simultaneously.
- Confidence dealing with clients and professional contacts.
- Strong written communication skills.
- Comfortable using CRM systems, Microsoft Office and document management systems.
- Able to work carefully with confidential and technically sensitive information.
- Methodical, reliable and highly organised.
- Calm under pressure and comfortable working with detail and complexity.
- Strong follow-through and able to see tasks through to completion.
- Able to identify when information or documentation does not look correct.
- Professional, discreet and client-focused.
- Willing to look for ways to improve processes rather than simply follow them.
Desirable Skills:
- Previous experience within financial planning, private client work, trusts, tax or estate planning.
- Familiarity with investment platforms and provider paperwork.
- Understanding of inheritance tax, trusts, pensions or tax-year planning.
- Experience working with solicitors, accountants or trustees.
- Experience handling trust and estate-planning administration.
- Progress towards relevant professional qualifications, or a willingness to develop technical knowledge.
- Experience working with CRM and document management systems.
