This dual-purpose role sits at the heart of our operations, combining daytime candidate sourcing, strict document compliance, and client rostering with rotational out-of-hours coverage. You will work closely with the leadership team to ensure our vulnerable homecare service users receive excellent continuity of care, our healthcare clients are supplied with fully compliant staff, and all service-critical CQC records remain up to date.
Key Responsibilities
1. Recruitment & Candidate Sourcing
- Sourcing: Post job adverts and proactively source Healthcare Assistants (HCAs), Support Workers, and Nurses across job boards and social media platforms.
- Screening: Conduct thorough initial telephone screenings and face-to-face competency interviews.
- Onboarding: Manage candidates efficiently from their initial application through to mandatory induction training.
2. CQC Compliance & Document Management
- Staff Vetting: Implement a zero-tolerance policy for incomplete files. Collect and verify enhanced DBS checks, Right to Work (RTW) documentation, and proof of address.
- References & Registrations: Obtain a minimum of two professional references covering the past 3 to 5 years. Verify active NMC registrations for nursing staff, ensuring no active restrictions are in place.
- Service Documentation Support: Assist the Registered Manager in ensuring that all essential CQC documentation—including care plans, risk assessments, quality audits, and operational policies—are accurately maintained, reviewed, and kept fully up to date in line with regulatory requirements.
- Auditing: Maintain a clean, audit-ready digital system to guarantee 100% compliance before any staff member is assigned to a shift.
3. Strategic Staff Rostering
- Homecare Provision: Build and manage weekly schedules prioritizing continuity of care for vulnerable clients, factoring in realistic travel times between residential properties.
- Agency Staffing Supply: Efficiently match urgent, ad-hoc shift requests from external care homes and hospitals with qualified staff.
- System Management: Keep the electronic rostering system continuously updated with staff availability, leave, and client preferences.
4. Rotational On-Call Duties (Out-of-Hours)
- Participate in a shared, rotational out-of-hours on-call roster (evenings and weekends) managed from home.
- Handle immediate operational emergencies, such as short-notice sickness, staff lateness, or emergency client care changes.
- Execute the handover protocol, ensuring all events and shift changes are meticulously logged and communicated back to the daytime office team by 9:00 AM the following morning.
