HVAC SERVICE COORDINATOR

Location: Wimbledon, South West London | Vacancy No: 5617

Are you an experienced HVAC Service Coordinator with a background in scheduling engineers, managing workloads and coordinating planned and reactive maintenance?

We are working with a highly respected and award-winning UK HVAC business seeking an experienced Service Coordinator to join its established team in Wimbledon.

The company provides heating, cooling and ventilation solutions across commercial, industrial and specialist environments, including chillers, heat pumps, air conditioning and ventilation systems.

This is an excellent opportunity to join a growing business with a strong reputation for technical expertise, service delivery and customer satisfaction.

THE ROLE

You will play a key role in coordinating the day-to-day activities of a busy team of HVAC service engineers.

Responsibilities will include managing engineer diaries, scheduling planned preventative maintenance (PPM), coordinating reactive breakdowns and ensuring engineers are allocated effectively.

Acting as the main link between customers, engineers and internal teams, you will ensure work is prioritised, schedules are maintained and service activities progress efficiently.

This is a hands-on role requiring previous HVAC service coordination experience and the ability to manage changing workloads and urgent callouts.

KEY RESPONSIBILITIES
  • Schedule and coordinate HVAC engineers across planned maintenance, reactive breakdowns and repairs.
  • Manage engineer diaries, appointments and workloads to maximise productivity.
  • Create and allocate service work orders, ensuring engineers have the correct job information.

  • Liaise with customers, engineers and internal teams regarding schedules and job progress.
  • Coordinate emergency callouts and manage schedule changes.
  • Arrange and track replacement parts and materials.
  • Review completed engineer reports and paperwork to support job closure and invoicing.
  • Assist with repair quotations and service administration.
  • Maintain accurate records and support the smooth running of the service department.

EXPERIENCE & SKILLS

Ideally, you will have:

  • Proven experience as a Service Coordinator, Service Scheduler, Service Controller or Service Planner within HVAC or a related mechanical service environment.
  • Experience scheduling mobile service engineers and managing diaries and workloads.
  • Knowledge of planned preventative maintenance (PPM), reactive breakdowns and repair visits.
  • A practical understanding of HVAC service operations, ideally within air conditioning, refrigeration, heating or ventilation.
  • Excellent communication skills when dealing with customers, engineers and internal teams.
  • Strong organisational skills and the ability to prioritise competing demands.
  • Good IT and administration skills, including experience with service management or scheduling systems.
  • A proactive, professional and solutions-focused approach.

Desirable experience:

  • Exposure to commercial HVAC equipment, chillers, heat pumps or air handling systems.
  • Experience within an HVAC contractor, facilities maintenance or building services business.
  • Familiarity with service quotations, parts ordering, engineer reports and invoicing.

Please note: Specialist chiller experience is not essential. Previous HVAC service coordination experience is the priority.

THE IDEAL CANDIDATE

You will be an experienced Service Coordinator who enjoys working in a busy engineering environment and takes pride in keeping customers, engineers and schedules running smoothly.

You will understand the challenges of coordinating field engineers, balancing planned maintenance with reactive demands and delivering excellent customer service.

You should be confident managing your workload independently and able to make an immediate contribution to the team.
