HRIS Officer | Herefordshire | 6 months FTC | up to £40,000 | HiBob Experience Key

The Opportunity

Gleeson Recruitment Group are currently recruiting for an HRIS (HiBob) Project Coordinator to join a growing organisation on a 6-month fixed-term contract, supporting a key HR systems implementation project. This is an excellent opportunity for someone with hands-on HiBob HRIS experience who enjoys working with HR data, system administration, testing and providing practical support to HR teams and end users. Working alongside the Project Manager, you will play a key role in ensuring the successful implementation of HiBob across multiple businesses and locations. The focus is on your practical knowledge of the system, ensuring data is accurate, processes work effectively and employees and managers can confidently use the platform. Previous hands-on experience using HiBob is essential for this role. We are particularly interested in candidates who have used HiBob in an HR administration, HRIS or system administration capacity and understand how the system operates day to day.

Key Responsibilities

• Support the implementation of HiBob, providing hands-on system knowledge and administrative expertise.
• Collect, cleanse, validate and upload employee data, ensuring accuracy and consistency across multiple businesses.
• Prepare import templates, complete test data loads and resolve any data errors ahead of go-live.
• Support system configuration, including fields, workflows, permissions, templates and notifications.
• Develop and execute testing scripts, support user acceptance testing and track system defects through to resolution.
• Build and validate HR reports, ensuring employee, payroll, absence and headcount data is accurate.
• Create user guides, SOPs, FAQs and training materials to support HR teams, line managers and employees.
• Provide first-line HiBob support following go-live, responding to system queries and helping users navigate the platform.
• Coordinate project documentation, action trackers, meetings and deadlines, working closely with HR, payroll and operational teams.
• Ensure a smooth handover to the HR Services team at the end of the project.

About You

To be successful in this role, you will have:

• At least 12 months' hands-on experience using HiBob in an HR administration, HRIS or system administration role. This is essential.
• Strong knowledge of HiBob's functionality, including maintaining employee data, workflows, permissions, lists and reporting.
• Excellent Excel skills, including lookups, pivot tables and data validation.
• Experience handling HR data with a high level of accuracy, confidentiality and attention to detail.
• A good understanding of UK HR administration across the employee lifecycle, including starters, leavers, absence and holiday management.
• An understanding of payroll data requirements and the importance of accurate reporting and deadlines.
• Strong organisational and communication skills, with the ability to coordinate actions across multiple teams.
• A proactive, methodical approach and the confidence to support colleagues who may be less familiar with HR systems.

Experience supporting a HiBob implementation or migration, bulk data uploads, user training or the Talent module would be advantageous.
