Senior Client Operations Specialist

A prestigious US law firm is seeking a Senior Client Operations Specialist to join its London office. This is a high-profile, Partner-facing position that combines billing, collections, and client administration, acting as a key point of contact for both internal stakeholders and clients.

Working as part of a close-knit team, you will support Partners throughout the client lifecycle, from engagement management and billing through to collections and client liaison. The role offers significant exposure to senior stakeholders and would suit a confident legal finance professional who enjoys relationship management alongside hands-on operational responsibilities.

Key Responsibilities

• Partner support - Build strong relationships with Partners, providing a responsive and high-quality service across billing, collections and client operations.
• Billing management - Prepare, review and amend draft bills, ensuring accuracy and compliance with client-specific billing requirements.
• Billing queries - Respond to billing and time entry queries, working closely with Partners and fee earners to resolve issues efficiently.
• Collections - Support the collections process, proactively following up on outstanding invoices and escalating issues where appropriate.
• WIP & A/R management - Assist with the monitoring and management of work in progress and accounts receivable balances.
• Reporting - Produce and distribute billing, collections and client-related reports for stakeholders across the business.
• Client reviews - Maintain and review client and matter information, ensuring records remain accurate and up to date.
• Write-offs & refunds - Support WIP write-offs, client refunds and account adjustments in line with firm procedures.
• Compliance & record keeping - Maintain records and documentation in accordance with firm policies and regulatory requirements.

Experience Required

• Previous experience within legal billing, revenue, client operations or a similar legal finance function.
• Experience working directly with Partners, fee earners and clients.
• Strong understanding of billing, collections and revenue processes.
• Good knowledge of VAT regulations.
• Experience using Aderant or a similar legal finance system would be beneficial.
• Excellent communication and stakeholder management skills.
