Job Title: Clerical Officer

Organisation: Northern Ireland Assembly

Contract: Temporary Full Time Hours Until 31 July 2027

Salary: AG8 - £29,137

As a Clerical Officer, you will be responsible for day-to-day administrative work to ensure high-quality service delivery across various directorates and business areas within Parliament Buildings. Staff can be appointed to any office within the organisation and may subsequently be transferred to other business areas as required.

What we need from you

• Completion of standard pre-appointment checks
• Full compliance with Assembly Commission staff policies, Equal Opportunities, Dignity at Work and mandatory training requirements
• Flexibility to carry out duties across various business areas as required

Essential Qualifications

1. Minimum of two A-Levels (grades A*-C) alongside five GCSE passes at grade A*-C (to include English Language and Mathematics), or suitable equivalent/higher-level professional qualifications; plus a minimum of two years' administrative background demonstrating:
2. a) Strong interpersonal and written communication abilities to engage professionally with key stakeholders, colleagues, management and members of the public.
3. b) Proven organizational capabilities with meticulous attention to detail to ensure high-quality, prompt outputs under tight timeframes.
4. c) Proficiency in Microsoft Office applications for document compilation and managing routine enquiries.

OR

1. At least four years of hands-on experience in an office environment fulfilling each of the key criteria noted in points a) to c) above.

Responsibilities

• Customer Service: Provide high-quality customer service to internal and external customers, offering accurate information in a professional manner by referring to organisational policies.
• Administrative Support: Deliver timely administrative support, including diary management, filing, photocopying and managing electronic mailboxes.
• Data & Information Management: Input data and maintain databases, spreadsheets and electronic/hard-copy filing systems to ensure effective document storage and retrieval.
• Meeting & Event Support: Organise meetings and visits, issue papers, order hospitality, greet external visitors and record key information/timings to support minute production.
• Financial Administration: Check and process invoices for payment through electronic payment systems.
• System Operations: Utilise Microsoft Office and bespoke internal Assembly software systems to gather, collate and prepare official documents.
