Reception & Office Administrator

  • Location: Luton, walking distance from train station and on-site parking available
  • Job Type: Full-time, office-based
  • Working Hours: Monday to Friday, 9:00 AM - 5:30 PM

Join a small but proud law firm based in Luton, where we value close relationships within our team and with our clients. We are looking for a Reception & Office Administrator who is not just looking for a job but wants to understand and manage the intricacies of our office operations. This role is crucial as it supports both in-house and remote team members, ensuring smooth administrative operations and a professional client experience.

Day-to-day Duties:

  • Manage incoming and outgoing post, ensuring all documents are scanned, named, and filed correctly both electronically and physically.
  • Maintain and organise client files, ensuring documents are in proper chronological order and assist with file closures and archiving.
  • Retrieve files and documents for colleagues and assist in preparing and organising files for meetings and hearings.
  • Welcome clients and visitors, prepare meeting rooms, and ensure a professional atmosphere.
  • Handle incoming telephone calls and general office inquiries.
  • Spot and take ownership of practical tasks around the office, ensuring everything is where it should be and initiating improvements in office processes.

Required Skills & Qualifications:

  • Previous experience in a law firm or professional office environment is highly preferred.
  • Strong organisational and methodical skills, with a keen eye for detail.
  • Excellent judgement and the ability to manage multiple priorities while maintaining calm.
  • Comfortable with technology and proficient in using office software.
  • Proactive and not just reactive, able to notice and act on what needs doing without waiting to be asked.
  • Warm and confident client interaction skills, able to support various personalities and departments.
  • A natural team player, emotionally intelligent, with a good sense of humour and perspective.

Benefits:

  • A supportive and close-knit team environment.
  • Opportunities for personal and professional growth.
  • A role that is critical to the smooth operation of the firm, providing satisfaction from ensuring operational excellence.
  • 20 days annual leave, increasing to one additional day for each completed year of service, up to a maximum of 25 days, plus a day off for your birthday. The firm also closes over the Christmas period, and those closure days are provided in addition to your annual leave entitlement.

We are looking for someone who will become the heartbeat of the office - warm, organised, proactive, with a good sense of humour, strong judgement, and the confidence to take ownership without waiting to be asked.

Please note that this role is a long-term support and office operations role, rather than a pathway into a paralegal or trainee solicitor position. We are looking for someone who genuinely wants to build their career within office management, administration, and operational support - an integral part of the successful running of the firm. There is real scope to grow within the role, take on greater responsibility, improve processes and work more closely with different departments, but that progression would remain within the firm's support and operations function rather than into a fee earning legal role.
