Project Administrator – Harlow, Essex

Salary: £27,580 per annum | Hybrid Working After Training | Monday–Friday | Permanent

Are you an organised, proactive administrator who loves keeping everything running smoothly? Do you enjoy juggling different tasks, working with different teams and being the person everyone relies on to keep things on track?

If so, this could be a fantastic opportunity!

We are recruiting for an established and growing business within the Fire, Security and Building Services sector, looking for a Project Administrator to join its busy Projects team in Harlow.
This is a brilliant opportunity for someone who enjoys variety, takes pride in their attention to detail and wants to become an integral part of a supportive, fast-paced team.
Even better, the role offers hybrid working once your initial training has been completed, giving you greater flexibility once you are fully settled into the position.

The Role:
As Project Administrator, you will be working closely with Project Managers, supporting the smooth delivery of projects from initial setup right through to completion.

No two days will be quite the same! You will be involved in everything from coordinating orders and subcontractors to maintaining project documentation, supporting financial administration and keeping customers and internal teams updated.

Your responsibilities will include:
  • Providing day-to-day administrative support to Project Managers and the wider Projects team.
  • Setting up new projects and ensuring all relevant documentation is accurate and complete.
  • Ordering equipment, raising purchase orders and coordinating subcontractor requirements.
  • Liaising with customers, contractors and internal departments to keep projects progressing.
  • Arranging appointments and issuing customer correspondence.
  • Preparing quotations for additional works and updating information on the CRM system.
  • Supporting project invoicing, billing and financial administration.
  • Monitoring project costs, updating reports and highlighting discrepancies.
  • Maintaining accurate project records and supporting compliance documentation.
  • Assisting with the preparation of Operations and Maintenance manuals.
  • Helping to ensure projects are completed efficiently, accurately and on time.
What Are We Looking For?

We would love to hear from someone who is naturally organised, confident communicating with people and enjoys taking ownership of their workload.

Ideally, you will bring:
  • Previous experience in an administration, project support, sales administration or coordination role.
  • Excellent attention to detail and strong organisational skills.
  • Confidence managing multiple tasks and changing priorities.
  • Good communication skills, both written and verbal.
  • Intermediate Excel skills or above.
  • Experience using CRM systems or other business administration software.
  • A proactive, problem-solving approach and the confidence to chase information when needed.
  • The ability to work independently while being a supportive team player.
Experience within engineering, construction, building services, fire and security, facilities management or another contractor-led environment would be advantageous.

Equally, if you have a strong background in order processing, purchasing administration, customer coordination or sales support, your skills could transfer really well into this position.

What Is On Offer?
  • Salary: £27,580 per annum.
  • Location: Harlow, Essex.
  • Working Hours: Monday to Friday, 8:30am–5:00pm.
  • Hybrid Working: Available following completion of initial training.
  • Contract: Full-time, permanent.
  • A varied position where you will be involved in the full project lifecycle.
  • The opportunity to develop your experience within an established technical services business.
  • A collaborative environment working alongside experienced Project Managers and other departments.
