Role Purpose

To deliver a professional, efficient and accurate purchase ledger service, ensuring all supplier invoices are processed, approved and paid on time in line with company deadlines and agreed payment terms, while maintaining strong relationships with suppliers and effective day-to-day communication with internal departments.

Main Responsibilities

Invoice Processing

• Process all supplier invoices in a timely manner to ensure monthly deadlines are met (generally 2 days after month's end).
• Perform 3-way matching of delivery notes, invoices and purchase orders.
• Post invoices that have been “released” in the approval flow.
• Follow the authorisation process where invoices do not have a purchase order.
• Identify missing invoices and delivery notes and request them in a timely manner.
• Review supplier portals and download invoices.

Supplier Payments & Banking

• Prepare and complete the supplier payment run twice monthly, in line with the Company’s agreed payment dates.
• Upload bank payments as required and reconcile the payment run with bank accounts.
• Complete the department cashflow statement with payment run figures and send remittances twice monthly.
• Reconcile supplier accounts to ensure payments, credits and invoices are correctly allocated.

Reconciliations & Month End

• Complete month-end reconciliations.
• Check and reconcile all supplier statements monthly, querying any discrepancies.
• Document and resolve queries arising on the purchase ledger accounts.

Supplier Management

• Enter new suppliers into Business Central and maintain and update supplier information to ensure the data on the Company’s financial systems is accurate and compliant.
• Liaise with internal departments and suppliers regarding queries and ensure timely resolution.
• Complete credit account application forms as and when required.
• Be the first point of contact for telephone AP enquiries.

Qualifications & Skills

• Finance experience preferred.
• Experienced in using Excel, Word and Microsoft Office.
• Good analytical, problem-solving and numerical skills.
• Ability to work in a team and independently.
• Comfortable working with data, spreadsheets and finance systems (Business Central experience advantageous).
