Executive Assistant (EA/PA) – 6-Month FTC

Location: City of London
Job Type: Full-time, 6-month Fixed Term Contract (maternity cover)
Working Hours: Monday to Friday, 9:00am – 5:00pm

About the Role

An exciting opportunity has arisen for a highly organised and proactive Executive Assistant to join a leading organisation within the legal finance sector, based in the City of London.

Working as part of a small, close-knit team, you will play a key role in supporting the smooth running of the London office, providing high-level administrative and organisational support. This position is ideal for someone who thrives in a fast-paced, professional environment and enjoys working collaboratively.

Key Responsibilities

  • Manage complex diaries for three senior stakeholders, as well as providing support to additional team members
  • Coordinate domestic and international travel, including booking accommodation and managing itineraries (approximately 5–10 trips per quarter)
  • Liaise with clients to arrange meetings and virtual calls across multiple time zones
  • Welcome visitors and clients, ensuring meeting rooms are prepared and refreshments are arranged
  • Maintain and update the CRM system as required
  • Process and prepare monthly expense claims for multiple team members
  • Support the planning and delivery of marketing and client events (50+ attendees)
  • Create and format PowerPoint presentations and other business documents
  • Provide general administrative support and assist with ad hoc tasks as required

Skills & Experience

  • Strong working knowledge of Microsoft Outlook, particularly calendar management and Microsoft Teams
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Exceptional attention to detail with strong written and verbal communication skills
  • Proven ability to multitask and work effectively under pressure
  • Professional, polished, and confident in a client-facing environment
  • Reliable, proactive, and trustworthy with a positive attitude
  • Experience using Salesforce or similar CRM systems is advantageous
  • Previous experience within the legal or professional services sector is desirable but not essential
