Executive Assistant to Financial Advisers

Location: Pattingham, South Staffordshire

Contract: Full-time, On-site

Department: Operations

Reports to: Operations Manager

Salary: From £30,000 depending on experience

We are currently working with a highly regarded Wealth Management practice to recruit an Executive Assistant to support a team of Financial Advisers. This is a key operational role within the business, ensuring advisers are fully supported so they can focus on delivering exceptional client service.

The Role

You will provide dedicated administrative and organisational support to Financial Advisers, managing workflows, client coordination, and day-to-day operational tasks. This is a busy, fast-paced role requiring strong attention to detail, excellent communication skills, and the ability to manage multiple priorities effectively.

Key Responsibilities

Adviser Support

  • Manage advisers’ diaries, inboxes, and scheduling priorities
  • Track tasks, follow-ups, and deadlines to ensure nothing is missed
  • Prepare meeting packs, presentations, and internal notes
  • Maintain accurate client records on Salesforce and other systems
  • Process expenses, invoices, and reimbursement forms
  • Coordinate travel and logistical arrangements where required

Client Support and Coordination

  • Act as the primary administrative contact for clients
  • Schedule and coordinate client meetings (virtual and face-to-face)
  • Prepare client reports, meeting packs, and supporting documentation
  • Complete post-meeting administration, including follow-up letters
  • Support onboarding of new clients, including documentation and system setup
  • Handle routine client queries with professionalism and discretion

Compliance and Process Management

  • Ensure all documentation meets compliance and data protection standards
  • Support advisers with regulatory requirements, reminders, and record keeping
  • Assist with internal audits and compliance checks
  • Maintain accurate filing, scanning, and archiving systems
  • Identify opportunities to improve efficiency and streamline processes

About You

We are keen to speak with candidates who have experience in an Executive Assistant, Administrative Assistant, or Client Service role. Experience within Financial Services or Wealth Management is highly desirable but not essential.

  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams, PowerPoint)
  • Salesforce experience is advantageous
  • Ability to work independently and as part of a team
