Job Summary
We are seeking a highly organised and detail-oriented Conveyancing Assistant to provide comprehensive administrative support to our legal team. This role plays a key part in delivering an efficient, service-led, and cost-effective plot conveyancing function, supporting the core business operation of plot sales and associated transactions, including part exchanges.
You will be responsible for maintaining high standards across all documentation and correspondence, ensuring accuracy and professional presentation at all times. Working closely with conveyancing colleagues, you will help achieve performance targets relating to the dispatch of contracts, exchanges, and completions.
The role also requires collaboration with various internal departments to gather information and progress plot transactions, as well as handling routine queries throughout the lifecycle of property sales.
Key Responsibilities
- Provide administrative support to the conveyancing and legal management team to deliver an efficient and service-led plot conveyancing function
- Maintain and update internal systems with key milestones such as contract issue, exchanges, and completions
- Prepare and issue legal documentation for reserved plots, including contracts and transfer/lease documentation
- Liaise with buyers’ solicitors to ensure documentation is accurate and delivered promptly
- Perform general office duties including filing, photocopying, scanning, and managing incoming and outgoing post
- Handle telephone queries professionally and efficiently
- Assist in obtaining property searches, including Local Authority, Drainage & Water, and Land Registry searches
- Submit monthly service charge requests to finance and notify management companies of completed plots
- Ensure completed files are archived in a timely and organised manner
What We’re Looking For
- Strong IT skills, including Microsoft Word and Excel, and familiarity with online systems such as Land Registry Portal, Stamp Duty Land Tax submissions, and search providers
- A methodical and accurate approach with strong attention to detail
- Confident communication skills with a professional and friendly telephone manner
- A proactive, flexible attitude with a willingness to learn and grow within the role
- Ability to work effectively in a fast-paced, high-pressure environment
- Excellent organisational skills and a commitment to maintaining high standards
Experience & Skills
- Previous administrative or conveyancing experience is desirable
- Strong organisational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to work both independently and as part of a team
