An established professional services firm in the real estate sector is seeking an experienced and proactive Personal Assistant to provide high-level support to a Senior Partner. This role is ideal for an organised, confident individual who thrives in managing diverse tasks and working closely with senior stakeholders.

Day-to-day of the role:

Personal Assistant Support (Primary Focus):

  • Act as the right-hand Personal Assistant to the Senior Partner, ensuring smooth day-to-day organisation.
  • Manage comprehensive diary, schedule meetings, and prioritise commitments effectively.
  • Prepare for meetings, take minutes, and track follow-up actions.
  • Handle email correspondence on behalf of the Senior Partner where appropriate.
  • Coordinate logistics for corporate and client events, including hosted sporting and hospitality events.
  • Liaise with internal teams, clients, and external contacts in a professional and discreet manner.
  • Keep the Senior Partner fully organised, anticipating needs and managing competing priorities.

Real Estate Finance & Team Support (Secondary Focus):

  • Serve as a point of contact between the real estate finance team, lender clients, and third parties.
  • Prepare and issue quotes to lender clients.
  • Maintain spreadsheets and produce weekly update reports.
  • Open files and issue instructions to borrowers’ solicitors.
  • Coordinate document execution processes, including DocuSign.
  • Assist with post-completion administration, including Companies House registrations.
  • Provide general administrative support across short-term property finance transactions.
  • Support onboarding, compliance, AML, and client due diligence processes.

Required Skills & Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or Senior Administrator.
  • Experience within professional services, legal, finance, or property environments is advantageous.
  • Exceptionally organised with strong attention to detail.
  • Confident in managing diaries, senior stakeholders, and confidential matters.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office, particularly Outlook, Word, and Excel.
  • Proactive, discreet, and able to work independently.
