Role and Responsibilities
Brief overview of the role:
The operations support team are time driven, with all cash being posted timely in the morning and all validation completed in a timely manner to reflect funds available to our clients.
This position is to work across two disciplines in the support team, Cash Processing and Debt Verification, depending on workflow in each area. Accurately processing cash onto various sales ledgers within the client portfolio and allocating cash items according to the remittance advices. Verifying invoices assigned to us by our clients by way of telephone or supporting documents. Also includes maintaining suspense accounts, ensuring items are repatriated to the correct ledger or refunded to the payee within set deadlines. Maintaining mailboxes, answering queries and electronically filing documents as per process to comply with audit criteria.
Main duties and responsibilities:
Cash Processing include (but not limited to):
- Collating bank transactions
- Posting of collections accurately to ledgers and allocating invoices via remittance advice
- Collating and preparing of cheques received (minimal) and taking to the local Bank
- Managing all remittance advices received via a remittance’s inbox
- Researching for allocation if no remittance available, to include online and telephone enquiries (with debtor/ client)
- Complete balancing data capture spreadsheets
- Preparing and processing refunds
Debt Validation tasks include (but not limited to):
- Telephone and Email verification of invoices assigned by our clients.
- Check supporting paperwork as per verification requirements
- Must also consider risk of fraud when verifying debt, to ensure that we are meeting our legal obligations prior to releasing funds.
All roles include (but not limited to):
- Compliance with AML & KYC regulations
- Compliance with cash processing procedures
- Liaising with Credit control and client managers as necessary
- Housekeeping of Mailboxes
- Managing electronic filing systems
- Reporting any issues/disputes etc. to line manager/ client manager
- This role involves the constant update of client information relating to assignment risk, money laundering, financial risk and verification process and therefore the team must bring any changes to the risk monitoring requirements to the client manager’s attention and amendments to criteria must be signed off by underwriters therefore meeting the needs of the business for risk monitoring and compliance.
