Overview
An established and professional private client financial planning firm is seeking an experienced Financial Planning Administrator to provide dedicated one-to-one support to a senior adviser. This is a key role focused on delivering exceptional service to a portfolio of high-net-worth private clients while supporting business growth and operational excellence.
The successful candidate will play a central role in client onboarding, ongoing servicing, and diary and workflow management, ensuring the adviser’s time is used as effectively as possible.
Key Responsibilities
- Provide proactive, high-quality administrative support to a senior financial planning professional
- Manage the end-to-end onboarding of new private clients, ensuring a strong first impression
- Collate, check and prepare client information and documentation for accuracy and completeness
- Act as a key point of contact for client enquiries via telephone, email and post
- Maintain a deep understanding of agreed service commitments and ensure they are consistently delivered
- Manage CRM systems, tasks, workflows and reminders to track progress and next steps
- Handle adviser diary management and appointment coordination
- Support peer checking and risk management procedures to maintain high compliance standards
- Ensure all processes adhere to internal procedures and regulatory requirements
- Maintain accurate and detailed client records and correspondence at all times
Relationship & Client Focus
- Build trusted, long-term relationships with private clients
- Develop a strong understanding of client objectives, circumstances and communication preferences
- Ensure regular and transparent client communication, including progress updates throughout servicing
- Promote the value of the firm’s services through professionalism and client-focused delivery
Skills & Experience
Essential:
- Experience supporting private clients within a financial planning or wealth management environment
- Strong attention to detail and organisational skills
- Ability to manage multiple priorities in a fast-paced environment
- Confident written and verbal communication skills
- Strong time management with the ability to anticipate needs and act proactively
- Experience using CRM systems and provider platforms
- Ability to work independently while also contributing effectively to a team
Preferred:
- Minimum 2 years’ experience in a private client financial planning environment
- Strong IT skills, including Microsoft Word, Excel and PowerPoint
- Experience processing business on investment or pension platforms
Qualifications (Preferred)
