Location: Edinburgh (Office-based – 5 days per week)
Hours: 37.5 hours per week (flexible start and finish times)
Salary: £26,500 – £28,000 (pro rata)

Overview

Our client, a well-established organisation within a specialist services sector, is seeking an experienced and highly organised Office Coordinator to join their Edinburgh office on a temporary basis. This is an excellent opportunity for someone with strong administrative, financial, and HR coordination experience who enjoys working in a fast-paced and collaborative environment.

There is potential for this role to become permanent for the right candidate.

Key Responsibilities

Office Coordination & Administration

  • Act as the first point of contact for general office queries and administrative support
  • Maintain office systems, records, and filing (both digital and physical)
  • Coordinate meetings, diaries, and internal communications
  • Support the smooth day-to-day running of the office

Financial Administration

  • Assist with financial processes such as invoicing, expense tracking, and purchase orders
  • Maintain accurate financial records using Excel and internal systems
  • Support basic finance reporting and data management

HR Administration

  • Assist with onboarding and offboarding processes
  • Maintain employee records and ensure data is up to date
  • Support HR documentation, absence tracking, and general HR queries
  • Coordinate training records and compliance documentation

Key Requirements

  • Previous experience in an office coordination, administrative, or similar role
  • Strong Excel skills (comfortable handling data, spreadsheets, and basic reporting)
  • Experience supporting finance and/or HR administrative tasks
  • Excellent organisational skills with strong attention to detail
  • Ability to manage multiple tasks and priorities effectively
  • Strong communication skills and a proactive approach
