Billing Administration Assistant-HYBRID- Birmingham-Full time-£25-30k

Global professional services organisation with a strong international presence across multiple regions, looking for a Billing Administration Assistant.

As a Billing Administration Assistant, you will play a vital role in supporting internal teams to ensure accurate and timely client billing. You will collaborate closely with stakeholders across the business to manage the end-to-end billing process, helping to maintain high levels of client service and satisfaction.

Key Responsibilities

  • Review draft billing proformas to ensure accuracy of fees and disbursements, including supporting documentation
  • Develop a strong understanding of client billing requirements and guidelines
  • Check and amend time entries and narratives before submission to Billing
  • Monitor invoice status using internal systems and liaise with Billing and Collections teams
  • Prepare billing review documentation using Excel where required
  • Act as a first point of contact for invoice-related queries, including liaising with stakeholders and managing amendments, cancellations, and credit notes
  • Work closely with Billing, Accounts Payable, Cashiers, and Collections teams on daily billing activities
  • Support e-billing processes and client system requirements
  • Assist with Client and Matter database queries and maintenance
  • Chase outstanding timesheets and ensure timely submission
  • Maintain accurate workflow tracking to monitor billing progress and next steps
  • Provide support to the wider Billing Assistant team during busy periods

Skills & Experience:

  • Advanced IT skills, particularly in Microsoft Excel
  • Experience with billing or financial systems (e.g. Elite 3E) is advantageous but not essential
  • Familiarity with time recording systems (e.g. Carpe Diem) is beneficial
  • Full training will be provided on internal systems and processes

Working Pattern

We offer a flexible and agile working environment, with up to 40% remote working and 60% office based. We are open to discussing flexible working arrangements to support individual needs.
