Job Summary:

As a Housing Officer, you will play a vital role in the management and administration of residential and commercial properties for Ark Resettlement Services. With a special focus on supporting vulnerable populations, you will be responsible for using Salesforce as the CRM system to report and update maintenance issues, ensuring properties are well-maintained and compliant with all regulations.

Your role will include liaising with tenants, contractors, and various support services to provide comprehensive property management and resettlement support.


Key Responsibilities:

Property Management:

  • Visit properties as required, including evenings and some weekends.
  • Complete health and safety checks on all properties.
  • Complete regular fire alarm tests.
  • Report and follow up on maintenance issues promptly.
  • Manage the Housing Benefit process for tenants.
  • Carry out administrative tasks and monitoring duties as required.
  • Assist in the day-to-day management of residential and commercial properties for Ark Resettlement Services.
  • Handle service user/tenant inquiries and coordinate responses in a timely manner.
  • Schedule and oversee property inspections, ensuring all properties meet health and safety standards.
  • Collect rent and service charges from tenants and ensure timely payments.
  • Manage tenancy agreements, renewals, and terminations.


Maintenance Coordination:

  • Use Salesforce to report, track, and update all maintenance issues.
  • Coordinate with contractors and maintenance staff to ensure timely resolution of reported issues.
  • Maintain detailed records of maintenance activities and communications in Salesforce.


Support Services:

  • Work closely with Ark Resettlement Services to support service users/tenants, particularly those transitioning from temporary or unstable housing.
  • Liaise with local authorities, charities, and support organisations to ensure comprehensive support for service users/tenants.


Service User/Tenant Relations:

  • Build and maintain positive relationships with tenants, addressing their concerns and needs effectively.
  • Ensure high levels of service user/tenant satisfaction through excellent customer service and prompt resolution of issues.
  • Conduct regular follow-ups with service users/tenants to ensure ongoing satisfaction and stability.


Administrative Duties:

  • Maintain accurate and up-to-date records in Salesforce, including property details, service user/tenant information, and maintenance logs.
  • Prepare reports and updates for the Head of Operations and other stakeholders as required.
  • Assist in the preparation and management of property budgets and financial reports.
  • Manage all aspects of utilities and billing for the properties, including processing invoices, ensuring timely payments, resolving tenant inquiries, and liaising with utility companies regarding account issues.


Compliance and Regulations:

  • Ensure all properties comply with relevant housing regulations and standards.
  • Stay updated with changes in housing laws and regulations and implement necessary changes in property management practices.


Qualifications:

  • Previous experience in property management or a similar administrative role.
  • Proficiency in using Salesforce or a similar CRM system.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of housing regulations and standards is preferred.
  • Experience working with vulnerable populations is a plus.
  • Strong problem-solving skills and attention to detail.
