Our client is a leading UK charity with a rich history and a strong commitment to preserving and sharing cultural heritage is seeking a Front Of House and Operations Assistant to join the team on ongoing temporary contract. They manage an extensive collection of archives, manuscripts, and records spanning centuries, providing a valuable resource for researchers, academics, and the wider public.


The organisation is dedicated to making its collections accessible and engaging, offering a welcoming and inclusive environment for visitors while supporting important research and educational initiatives.


This is an exciting opportunity for a proactive and customer-focused individual to support the day-to-day operations of a busy library. Working as part of a collaborative operations team, you will play a key role in delivering a professional front-of-house service, supporting visitor engagement, and ensuring the smooth running of events and internal processes.


This role will be based onsite, and the ideal candidate will be immediately available to start.


Key Responsibilities

Front of House & Visitor Engagement

  • Provide a warm, professional welcome to visitors, researchers, and stakeholders
  • Manage enquiries via phone, email, and in person
  • Support visitors in accessing and using collections
  • Handle incoming and outgoing post and deliveries

Events & Facilities Support

  • Assist with the setup and delivery of events, including room layouts and equipment
  • Prepare meeting spaces with AV equipment, materials, and refreshments
  • Ensure spaces are reset and maintained to a high standard following events

Operational & Administrative Support

  • Retrieve, issue, and track archive materials, files, and records
  • Maintain accurate records across digital and manual systems
  • Support collection management activities including storage, organisation, and stock checks
  • Respond to internal queries and assist with information requests

Essential Experience & Skills

  • 3+ years’ experience in a Receptionist, Front of house, customer-facing or administrative role
  • Experience within a library, archive, or similar environment
  • Strong organisational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Confident using Microsoft Office and database systems
  • Ability to work independently and as part of a team
  • Comfortable supporting event setup (including light manual handling)
  • Flexible approach to working hours (including occasional evenings or weekends)
  • Experience within heritage, arts, or cultural organisations (Desirable)
  • Familiarity with archive systems (e.g. CALM) or AV equipment (Desirable)
  • Interest in history, archives, or research environments (Desirable)
  • Food Hygiene or Health & Safety certification (Desirable)
