About the Role
The Research Culture Team is seeking a highly organised, proactive, and detail-oriented Team Administrator to provide essential operational and administrative support across a diverse portfolio of research culture initiatives and governance activities.
This role plays a critical part in ensuring the smooth day-to-day running of the team and supporting the successful delivery of key programmes, steering groups, and funding processes. The successful candidate will work closely with the Head of Planning & Operations, Senior Operations and Governance Officer, Change Manager, Project Manager, and wider stakeholders across the company.
This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced, collaborative environment and is confident managing multiple priorities while maintaining a high standard of professionalism and accuracy.
Key Responsibilities
Operational & Team Administration
- Manage the Research Culture Team shared inbox, responding to and triaging enquiries professionally and efficiently.
- Provide diary and scheduling support for the Director of Research Culture and wider team members.
- Coordinate meetings, including room bookings, virtual meeting arrangements, agenda preparation, minute-taking, and action tracking.
- Maintain shared documentation, filing systems, SharePoint sites, and team resources.
- Organise team events, workshops, and away days, including logistics, catering, communications, and materials preparation.
- Deliver general administrative support including document formatting, procurement, printing, and office coordination.
Programme Board & Governance Support
- Support the administration of the Research Culture Programme Board and associated governance processes.
- Prepare and distribute meeting papers and agenda packs.
- Record accurate minutes, risks, decisions, and action logs for governance meetings.
- Maintain governance documentation including registers, membership records, and tracking logs.
- Coordinate pre- and post-meeting activities to support effective programme governance.
Steering Group Administration
- Provide end-to-end administrative support to the Research Culture Community Steering Group.
- Coordinate scheduling, logistics, agenda packs, and stakeholder communications.
- Maintain records including terms of reference, membership lists, and governance documentation.
- Track actions arising from meetings and support timely follow-up and delivery.
Funding & Reporting Support
- Assist with coordinating faculty funding reporting and payment processes.
- Track reporting deadlines and manage reminder communications with faculty contacts.
- Maintain workflow trackers and ensure accurate reporting and payment records.
- Liaise with finance teams and faculty stakeholders to support smooth payment processing.
- Prepare funding summaries and status updates for internal reporting purposes.
Additional Administrative Support
- Support onboarding activities for new team members, including IT access and induction coordination.
- Assist with formatting presentations, reports, and professional correspondence.
- Respond flexibly to ad hoc administrative requests across the wider team.
- Undertake additional duties appropriate to the level of the role.
Essential Skills & Experience
Qualifications & Experience
- Educated to A-Level standard or equivalent professional experience.
- Previous experience providing administrative or operational support within a busy team environment.
- Experience supporting committees, governance boards, steering groups, or formal meetings.
- Experience managing shared inboxes and coordinating high-volume communications.
- Experience supporting funding administration, financial tracking, or reporting processes is advantageous.
- Experience working within higher education, research, or professional services environments is desirable.
Skills & Competencies
- Excellent organisational and time management skills with the ability to prioritise multiple tasks effectively.
- Strong written and verbal communication skills, including drafting agendas, minutes, and professional correspondence.
- High attention to detail and accuracy in maintaining records, trackers, and documentation.
- Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Ability to handle confidential and sensitive information with discretion.
- Proactive and flexible approach with strong problem-solving capabilities.
- Ability to work independently and collaboratively with a wide range of stakeholders
