  • Hours: 37 per week, office-based

We are seeking a dedicated Business Support Officer to provide essential administrative and operational support to the Children’s Social Work and Early Help Service. This role is crucial for the smooth operation of our service areas, including managing telephone reception, financial processing, and supporting the Short Break Grant process.

Day-to-day of the role:

Telephone and Frontline Administrative Support:

  • Serve as the first point of contact for the service’s telephone reception.
  • Handle incoming calls, accurately record messages, and direct enquiries to appropriate teams or practitioners using Microsoft Teams and relevant case management systems.

Short Break Grant Support:

  • Check and process Short Break Grant paperwork, ensuring completeness and accuracy.
  • Directly contact families for additional information or clarification.
  • Forward completed applications to the relevant manager for approval.
  • Maintain an Excel tracking spreadsheet to monitor applications, progress, and outcomes.

Systems and Data Management:

  • Utilise Liquid Logic for case-related information and administrative tasks.
  • Extensively use Microsoft Excel for tracking, monitoring, and reporting.
  • Manage communication and data entry using Microsoft Teams.
  • Process financial transactions using Integra (training provided if necessary).

Finance and Payment Processing:

  • Process payments to suppliers and service providers, ensuring accuracy and compliance with financial procedures.
  • Resolve payment queries in collaboration with finance teams.

Meeting Support and Note Taking:

  • Provide note-taking support for various meetings, capturing key points and actions.

Required Skills & Qualifications:

  • Proficiency in Microsoft Office applications, especially Excel and Teams.
  • Experience with financial processing systems; familiarity with Integra is advantageous but not required.
  • Strong organizational and communication skills.
  • Ability to work effectively in a fast-paced, office-based environment.
  • Experience in administrative roles, preferably within social work or similar public sector services.
