The Dundee office is looking to expand its team and welcome an Administrator on a part-time basis. We’re looking for a minimum of 14 hours per week, working 9-5 Tuesdays and Thursdays, but can consider up to 21 hours per week.
This role combines front-of-house responsibilities with a wide range of administrative duties, ensuring the smooth day-to-day running of the office and delivering a professional experience for both clients and colleagues.
The successful candidate will play a key role in managing communications, supporting client processes, maintaining accurate records, and assisting multiple departments. This is an excellent opportunity for someone who is detail-oriented, adaptable, and enjoys working in a fast-paced, collaborative environment.
Key responsibilities of an Administrator will include:
- Acting as the first point of contact for visitors and callers, providing a professional reception service and handling enquiries efficiently
- Managing incoming communications, including answering calls, distributing post, and maintaining accurate digital and paper records
- Supporting general administrative processes, including scanning, filing, and assisting with internal workflows and client projects
- Coordinating client-related admin tasks such as onboarding, AML checks, engagement letters, and job bookings
- Assisting with tax return processes, including chasing approvals and supporting submissions via relevant systems
- Providing facilities and office support, liaising with suppliers, coordinating maintenance, and supporting health & safety processes
- Handling client records and payments securely, including cheque processing and banking
- Supporting departments across the business with ad hoc administrative tasks and project work
- Assisting with social media activity, including creating and scheduling posts with guidance from management
- Taking ownership of tasks, ensuring accuracy, meeting deadlines, and maintaining a high standard of compliance with internal processes
About you
We are looking for candidates with the following skills and experience:
- Previous experience in an administrative or similar role
- Strong written and verbal communication skills, with a high standard of literacy
- Excellent attention to detail across all aspects of work
- Confident communicating professionally with colleagues at all levels, both verbally and in writing
- Proficient in using standard office software and systems
- Demonstrates integrity, professionalism, and a commitment to delivering high-quality work within deadlines
- Positive, proactive mindset with a willingness to learn and adapt to change
- Strong team player who collaborates effectively and contributes to a supportive working environment
- Enthusiastic and helpful approach to tasks and responsibilities
- Good time management skills, with the ability to prioritise work and follow policies and procedures
