The SEND Administrator will provide high quality administrative and organisational support to the academy’s SEND provision. The successful candidate will work closely with the SENDCo, Assistant Principal for Teaching and Learning and Vice Principal to support the smooth running of SEND systems, processes and communication across the academy. The role will involve coordinating documentation, maintaining accurate student records, coordinating annual review administration, liaising with families and external agencies and helping ensure students receive timely and well coordinated support. SEND administration is a significant and growing area of work in any school. Managing EHCPs, coordinating annual reviews, maintaining accurate records and communicating with families, local authorities and external professionals requires dedicated time, organisation and attention to detail. Without dedicated administrative support, this work can limit the time available for direct student support and strategic SEND leadership. The SEND Administrator post creates the operational capacity needed to ensure LSA’s SEND provision is well organised, compliant and consistently delivered.

ROLE PURPOSE

CORE RESPONSIBILITIES

EHCP administration and compliance

  • Manage the administration of all EHCP-related processes, draft and final plan documentation, and support the annual review process
  • Ensure all EHCP documentation is completed accurately and issued within statutory timelines, in line with the Children and Families Act 2014 and the SEND Code of Practice
  • Act as the administrative point of contact for EHCP-related communications with the local authority (including through the consultation process), families and external professionals
  • Track and monitor EHCP review dates and flag upcoming deadlines to the SENDCo in good time
  • Maintain accurate and up-to-date records for all students with EHCPs, ensuring files are organised, complete and stored securely

SEND records and systems

  • Maintain the school's SEND register and associated records, ensuring information is current and accessible to relevant staff
  • Update student SEND profiles and support plans as directed by the SENDCo
  • Support input and management of SEND data within the school's management information system
  • Prepare reports and summaries from SEND data as requested by the SENDCo or AP for Teaching and Learning
  • Support the administration of exam access arrangements, including maintaining relevant documentation and liaising with the Exams Officer

Communication and liaison

  • Assist with the consultation process for students applying to join the school, including communicating with Local Authorities and monitoring the completion of consultation within statutory timelines
  • Handle correspondence with families, the local authority, external specialists and other schools or settings relating to SEND matters
  • Support the coordination of multi-agency meetings, annual reviews and SEND consultations, including scheduling, preparing documentation and taking notes where required
  • Respond to routine SEND queries from staff, students and families, referring complex matters to the SENDCo
  • Support the transition process for incoming students with EHCPs, helping to ensure relevant documentation is requested and in place before the student starts

General administrative support

  • Provide broader administrative support to the SEND team as directed by the SENDCo and AP for Teaching and Learning and Vice Principal
  • Maintain a clear and organised filing system for all SEND documentation, both digital and paper-based
  • Order resources and manage administrative tasks related to SEND provision as required
  • Liaise with the finance team to ensure timely completion of HNF requests
  • Uphold confidentiality and data protection standards at all times, given the sensitive nature of the information handled in this role
