We are looking for a Medical Secretary to join our practice and be responsible for administrative duties within our facility. You will be required to provide and maintain a punctual, professional and efficient medical secretarial role to six busy consultants within a very demanding practice based at The London Bridge Hospital working under pressure at times
Medical Secretary Skills and Qualifications
Office Experience - Scheduling, Telephone Skills, Typing, Organization, Time Management, Customer Service, Verbal Communication, Knowledge of medical terminology, prior experience in handling electronic medical records and a Proficiency in Microsoft Office applications such as Microsoft Office 365, Outlook, Word and Excel. Prior experience of gastroenterology would be a bonus.
Medical Secretary duties will include but not be limited to:
- Maintaining extensive diary management for 6 consultants
- Schedule, reschedule and cancel outpatient appointments, sending appointment letters
- Prepping patient information for clinics
- Booking theatre space for procedures both in Endoscopy/Main Theatres/Day Surgery/Imaging
- Arrange anesthetists for surgery
- Scheduling patient procedures to be carried out in endoscopy and main theatres
- Preparing booking forms for surgery and confirming with reservations ensuring beds are available
- Preparing patient letters for booked procedures, provide and explain preparation information to the patient prior to surgery/procedure
- Email correspondence from patients/consultants responding efficiently, promptly and professionally
- Typing of clinic letters with a 48 hour turn around in correspondence
- Sort and scan incoming mail including letters/results/emails to provide a paperless filing system
- Anticipate and respond to any needs presented by patients or relatives and deal with in an appropriate manner
- Liaise with all departments of the London Bridge Hospital
- Liaise with clinics/hospitals obtaining results and patient history as and when required
- Check voicemails and respond to phone calls
- Keeping Recall database up to date and contact Recall Patients to arrange and book repeat procedures
- Print off results and scan on to database
- Answering the telephone during office hours, ensuring that patients receive quality patient care and excellent service overall
- Maintain patient confidentiality at all times and protect patient information
- Data entry
- Drop off/collect paperwork from our other facilities on a regular basis
- Obtain payment details from self-funding patients the day prior to appointment/procedure daily
- Ad-hoc duties
