I am recruiting for an Operations Coordinator to join a dynamic and fast-paced team. This role plays a key part in planning, coordinating and booking onsite crew for events, ensuring everything runs smoothly from start to finish. I'm looking for someone with strong relationship-building skills, excellent attention to detail and the ability to manage competing priorities effectively in a time-sensitive environment.

Day-to-day duties of the role:

  • Source and book technical crew for multiple events worldwide, including negotiating rates and managing schedules.
  • Plan and book hotel accommodations within budget, ensuring timely payments.
  • Arrange complex travel arrangements for crew, including flights, trains, and car hires, while managing any entry restrictions.
  • Handle the application and processing of visas, work permits, or second passports, maintaining accurate records.
  • Manage event accreditation processes.
  • Maintain and update internal systems with crew data, including personal information, skill sets and rates.
  • Monitor and process purchase orders and invoices related to travel and expenses.
  • Assess freelance crew in line with IR35 tax rules, issuing documentation and keeping records.
  • Source and process new freelancers through the contractor approval process.
  • Update and maintain Public Liability Insurance data and ensure compliance with company policies.
  • Assist in the administration and booking of onsite crew training and maintain the training matrix.

  • Strong multitasking skills and the ability to work under pressure.
  • Excellent communication and interpersonal skills.
  • Experience in customer service.
  • Meticulous attention to detail and systematic approach to tasks.
  • Proactive, self-motivated, and able to use initiative.
  • General computer literacy with proficiency in Microsoft Office (Word, PowerPoint, Excel, Teams).
